Workflow emails not being received by distribution lists or mail-enabled security groups

Issue

Emails generated by workflow actions in Sintel Forms are not being delivered to distribution lists or mail-enabled security groups.

Resolution

To ensure Sintel Forms can successfully send emails to a distribution list or a mail-enabled security group, you must configure these groups to accept emails from external senders.

This can be done in the Exchange Admin Centre in Microsoft 365:

  1. Open the Exchange Admin Centre.

  2. Locate and select the relevant distribution list or mail-enabled security group.

  3. Under delivery management, update the settings to allow emails from:

    • Senders inside and outside of my organisation.

 

Emails sent to users within your organisation are delivered from:
Site Name no-reply@sharepointonline.com

However, emails sent to distribution lists are treated differently — they come from:
notifications@sintelforms.com

If you would prefer that emails to distribution lists appear to come from
Site Name no-reply@sharepointonline.com, simply:

  • Add the distribution list to a mail-enabled security group, and

  • Configure workflow emails to send to that mail-enabled security group instead.
    This ensures consistent behaviour with other internal email communications.
